Our vision on the project
Problem: This healthcare institution has multiple locations, with some having a closed department. Granting different levels of access to staff, visitors, and informal caregivers at different locations took a significant amount of time. Not to mention the process of giving a key to a maintenance technician. Access passes for caregivers were not considered, resulting in their passes still granting access to the departments after the client left. Pool cars and bikes are available for traveling from one location to another; however, the keys for these were always misplaced. Access to medication rooms was also inadequately arranged. Because the institution has an open character, visitors frequently went to get coffee, leading to excessive coffee costs.
Solution: A clear system with access control and locking mechanisms on doors and cabinets at all locations, with specific access rights for residents, caregivers, staff, and service personnel. Caregivers are linked to the client, and their passes are immediately blocked when the client departs, without any additional actions required. Upon termination or departure of an access-privileged individual, access can be revoked via the cloud application from multiple locations. In case of incidents, access can easily be assigned remotely to an existing user, or a door can be opened. With the introduction of key cabinets, where keys are released to individuals entitled to them, it can be recorded who has used which car/bike and where it is located. For example, a bike can be picked up at location A and returned to storage at location B. The medication rooms are equipped with access control. Special medications are kept in this area behind an extra lock. The key for this is taken from the key cabinet, allowing insight of who accessed these medications and when. Additionally, electronic locks have been installed on small cabinets, eliminating the need to retrieve a physical key; access to special medication is granted with additional rights. To gain control over coffee costs, coffee distribution has been arranged through payment, while keeping it free for staff.
Implementation: The investment in this system has already yielded big returns. The implementation went smoothly, and the instructions were completed within 10 minutes. In one system, there is clarity on the issuance and access for residents, informal caregivers, staff, and service personnel at specific locations.
Future: Ident2be is a user-friendly platform; the operation is straightforward, and expansion options can be added easily. For example, features such as meeting room management, follow-me printing, or network access can be included. Additionally, integration with all existing (access) systems is possible, even across multiple buildings. This not only saves time during implementation but also reduces costs by making the most of what is already available in the buildings.
